Who are we?

Stampix is an online platform that offers a B2B white-labelled Web Application (“Web App”) where people can upload their photos and let them be printed and delivered to a chosen address by companies. Companies can use our services to gather 1st-party data, drive long term brand building and increase NPS & retention. We aim to drive genuine engagement and real-time conversions to increase customer lifetime value.   

This privacy policy contains an explanation of how we collect, use and process all personal data concerning you (Personal Data).

How do we collect information?

We obtain Personal Data through our website, particularly when you use the “Request sample box” page,  when you use a contact form or when you sign in to our newsletter and/or authorized Third Parties.

We may combine data that we collect via one method with data that we collected through another method. We do this to get a complete view of our customers. This will enable us to deliver you a better service and customization. 

What type of information is collected?

The personal information we collect includes:

• First name
• Last name
• Work email
• Phone number
• Job title
• Shipping address 

How is your information used?

We process your data for the purposes for which it was collected. 

When using our services, we are required to process personal data in order to meet our contractual obligations. In order to execute our contract we process your personal data for the following purposes: 

• Preparing, concluding, executing and terminating the contract you have with us;
• Ensuring a response to your requests;
• Customer service

Where we don’t have a binding contract, you have the possibility to give us your consent to process your personal data. When subscribing to our newsletter, requesting a sample box or when you give us your consent to send your data to our partners, we ask you to acknowledge and agree that we will process your Personal Data according to this Privacy Policy. We will process your Personal Data for the following purposes:

• When given consent, sending you our newsletter
• When requesting a sample box;
• When requesting pricing;
• When contacting our sales team through the ‘Contact Sales’ form on the website;
• When talking to our chatbot.

How long do we keep your information?

We keep your data only for as long as it is reasonably necessary for the purposes for which it was collected, taking into consideration our need to answer queries or resolve problems, provide improved and new services and comply with legal requirements under applicable law(s). This means that we may retain your personal information for a reasonable period after you stop using our services or stop using our websites. After this period, your personal information will be deleted from all our systems. 

As part of the execution of a contract, we archive your contract and your personal data for a period of 10 years after the end of the contract. 

Within the framework of commercial prospecting, if you no longer respond to any solicitation 3 years after the last contact, your information will be deleted. 

At the end of the retention period, we do everything we can to ensure that the personal data has been made unavailable and inaccessible.

Who has access to your information?

We do not disclose, hire out or sell your Personal Data to third parties, unless it is necessary to serve you. We will not hire out or sell your information to third parties unless you have given us your specific consent:

• explicitly agreeing – through an opt-in – to give their information to third parties, to receive the offers and promotions of their products and services. 
• instructing us to share your personal information with websites and platforms of third parties. 

With the exception of the above, we will not disclose any of the User’s personal data without their given permission unless:

• We are legally entitled to do so (for example, pursuant to a court order or for the purpose of crime or fraud prevention or detection); 
• We are in negotiation with a third party in order to sell or purchase the business or business assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets; 
• Stampix, or all of its assets, is taken over by a third party, in which case personal data held by Stampix about its customers will be one of the transferred assets; or 
• To enforce or apply our terms of use and other agreements to which you decided to adhere, or to protect our rights, property, safety, customers or others.

We use a third-party messaging service provider, Hubspot, to send you our marketing emails. We provide Hubspot with Personal Data in order to send you customized emails (in your chosen language, your name, your email). Hubspot processes the Personal Data in accordance with this Privacy Policy Hubspot also uses certain types of technology such as pixels and invisible pixels (“web beacons”) in e-mails sent by Hubspot. This technology tells Hubspot whether you have opened or clicked on our emails and, if so, the date, time and IP address used when opening or clicking on them. Preferences

Stampix will never contact you for marketing purposes by email unless you have given prior consent. You have the choice of whether or not to receive information from Stampix. If you do not want to receive communications from us about services, products or new promotional codes, you can unsubscribe at any time by clicking on the unsubscribe link at the bottom of all emails.

How to access and update information?

The accuracy of personal information is important to us. We are working on ways to make it easier for you to review and correct the information that Stampix holds. In the meantime, if you change your email address, home address, or if any of the other information we hold is inaccurate or out of date, please email Stampix at: hello@stampix.com

Security precautions to protect against the loss, misuse or alteration of your information

We are committed to taking all appropriate technical and organizational measures to protect personal information against loss, misuse, destruction, unintended changes, damages or publication. We will store all the personal information provided on its secure servers.

Information relating to electronic transactions which have been entered on our website will be protected by encryption technology.

Notwithstanding our security policies, controls and efforts in general, an infallible level of security cannot be guaranteed by Stampix. Since no method of transmission over the Internet or method of electronic storage is 100% secure, Stampix cannot guarantee absolute security.

Links to other websites

The Stampix website or other channels may contain links to other websites run by other organizations or third parties. This privacy policy only applies to Stampix websites and channels, so you are encouraged to read the privacy statements on the other websites being visited. We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from Stampix websites or channels.

In addition, if you link to our website from a third party’s site, we cannot be responsible for the privacy policies and practices of the owners and operators of that third-party site and recommend that you check the policy of that third party site.

Limitation of liability clause

Stampix’s liability shall be restricted to direct harm, to the exclusion of any indirect loss. Stampix can never be held liable for harm deemed to be indirect such as, without limitation, loss of data, financial loss, commercial loss, loss of profits, increased general costs, and disruption of planning. 

Stampix cannot be held liable for any harm arising from any unlawful manipulation of the data by third parties, such as data theft, the introduction of viruses, hacking or any other IT malpractices.
